Application Process & Deadlines

Include the following information in your grant request: (Please submit 16 copies)

  • Name of the organization
  • Name and address of contact person
  • Organization Information - purpose and history of the organization or group
  • Purpose of Grant - address how the program/project will positively affect the greater Virginia, Minnesota, community. Please describe the following: a) need for project b) goals and objectives the project will meet and c) specific activity and timetable for implementation of project
  • Dollar amount requested from the Virginia Community Foundation
  • Itemized project budget detailing all projected expenditures, including 3rd party estimates or other documentation
  • List of other funding sources with dollar amounts, including whether committed or pending
  • Describe how you will evaluate the relative success of your program or project.
  • Organization financial statements (balance sheet and income & expense statement) for the last completed year and current year-to-date;

Please attach one copy of each of the following:

  • Copy of IRS 501(c)3 determination letter or letter indicating fiscal agency relationship and a copy of that organization's IRS determination letter; A complete list of your organization's leaders or board members; A copy of your board or governing body resolution authorizing grant request.
  • The Virginia Community Foundation will perform due diligence to ensure grants are used for charitable purposes. Due diligence may include site visits, interviews or additional research.

Deadlines

The 15-member Virginia Community Foundation Board reviews all grant applications. Grant requests have semi-annual deadlines of March 31st and September 30th, with decisions made during April and October. The Board reserves the right to cancel, add or otherwise modify funding cycles to better meet the needs of the community.

Award Policies

Approved grants will expire one year from the date of approval. Prior to funding, grantees will be required to provide invoices or proof of expenditures. A final grant report, which will be provided by the foundation, must be submitted within 3 months after the grant is funded. Future awards will be dependent on completion of Final Reports for any prior grants. Grantees are strongly encouraged to provide public acknowledgement of a Foundation grant on project sites and/or in project communications.
